The useful version
Choose on the work. Test before the rollout.
There is no universal best assistant for every business. Start with the work, the systems that hold the information and the controls your organisation requires. Then test the shortlisted tools on equivalent tasks. A persuasive demonstration is not evidence that the tool fits your accounts, permissions or operating model.

Business assistant comparison
Four useful starting points, not a league table.
Microsoft Copilot deserves consideration when the work is already centred on Microsoft 365. Gemini deserves consideration when Google Workspace is central. ChatGPT and Claude can be assessed for a wider set of drafting, analysis and reusable business workflows. These are evaluation starting points, not exclusive capabilities or guaranteed winners.
Product names cover different plans, applications and administrative arrangements. Confirm the exact experience before comparing. An individual account and a business deployment should not be treated as equivalent merely because the brand is the same.
Assistant evaluation worksheet
Use equivalent tasks and record current plan details for each candidate.
Business assistant comparison
Run the same work through each candidate.
Choose a representative task and prepare approved test material. Include a missing fact, a contradictory source and a request that should be escalated. Ask each candidate for the same output and apply the same review rubric.
Measure the whole task: preparing context, generating work, checking it and correcting errors. Record what a reviewer accepted and what remained unresolved. Do not score a fluent unsupported answer above a shorter response that correctly identifies missing evidence.
| Candidate | A useful starting context | What to verify |
|---|---|---|
| ChatGPT | Drafting, analysis and reusable business tasks | Workspace plan, approved information, controls and workflow quality |
| Microsoft Copilot | Work centred on Microsoft 365 | Exact Copilot product, licences, source permissions and available functions |
| Claude | Document-rich work, reusable context and reviewed multi-step tasks | Plan, Projects, Skills, action permissions and current feature availability |
| Google Gemini | Work centred on Google Workspace | Approved account, Workspace availability, data controls and review method |

Inspect the operating environment.
Ask which information the tool can reach, what permissions apply, where processing occurs and which controls are available on the proposed plan. Confirm retention, deletion, logs, connectors and administrative responsibility against current documentation and your contract.
A statement that business data is not used for model training does not answer every privacy or security question. It is one part of the evaluation. The information owner and relevant advisers approve the intended use; a comparison article cannot do that for them.
Next: Compare total cost and adoption effort.Business assistant comparison
Compare total cost and adoption effort.
Seat price alone misses preparation, administration, training, usage-based charges, integration, support and review. List existing licences and identify which new purchase is actually required. Obtain current vendor quotes in the billing currency and tax treatment that apply to you.
We intentionally do not freeze a rapidly changing price table into this guide. Use the linked vendor pages and a dated quote, then compare the same scope. A second assistant can be justified for a different workflow, but it also adds administration, training and information-boundary decisions.
Next: Choose a bounded first rollout.Business assistant comparison
Choose a bounded first rollout.
Select the tool that performs the chosen work acceptably in the approved environment, then start with an owned cohort. Prepare reusable material, review criteria and a route for questions. Keep the first release small enough to observe.
Revisit the decision when the work, permissions or product changes. Avoid locking a permanent organisational strategy to the winner of a single prompt test. Paloren can help with training, rollout or connected implementation, depending on where the actual obstacle sits.
From knowing to doing
Put the thinking to work.
- 01
Define the requirement
Write down the task, owner and information boundary.
- 02
Check the evidence
Review current primary sources and test representative work.
- 03
Make the decision
Record assumptions, responsibilities and the next review.
What you take forward
A practical decision framework.
Explicit information and review boundaries.
Before we talk
Good questions.
Clear answers.
Is Copilot better than ChatGPT?
That depends on the exact products, your workflow and approved environment. Test the same work and include review effort, access and operating cost.
Should we use more than one assistant?
Only when the additional capability justifies the cost and governance effort. Define which work belongs in each and avoid unapproved movement of information between them.
Does this compare current subscription prices?
No. Vendor prices and plans change. The guide provides a decision method and primary sources; obtain current quotes before procurement.
